Crary Art Gallery, Inc., was established in 1977 as a nonprofit art gallery by painter Genevieve Walker Crary in memory of her husband, industrialist, philanthropist, and photographer Clare Crary. The Crary Art Gallery is dedicated to promoting the fine arts by bringing noteworthy art to the region and highlighting the art produced and collected by the Crarys. There is an extensive inventory of Gene and Clare's own paintings and photographs, some of which are always on display at the gallery. The Crary Art Gallery also hosts changing temporary exhibitions, lectures and events. The facility can be rented for weddings and private functions.

Position Summary
The Manager is responsible for the overall day-to-day administration and operation of the Crary Art Gallery in collaboration with the working Board. This position serves as the primary on-site representative and is responsible for ensuring a welcoming visitor experience while supporting exhibitions, collections, facility rentals, events, volunteer engagement, and administrative functions.
The Manager works collaboratively with the Board of Directors, artists, volunteers, donors, visitors, vendors, community organizations, and other stakeholders to advance the mission, maintain its facilities and collections, and promote public engagement with the arts.

Essential Duties and Responsibilities
Programs & Education
• Serve as primary point of contact for programming, education, and outreach inquiries
• Plan, coordinate, and facilitate school visits, workshops, classes, and community programs
• Coordinate community outreach initiatives and represent the organization publicly
• Assist and support education and engagement opportunities that advance the mission.

Visitor Services, Hospitality, & Rentals
• Serve as the primary on-sight representative and point of contact for visitors and inquiries
• Coordinate exhibitions, receptions, and events
• Manage facility rental inquiries, bookings, and client communications
• Ensure a welcoming, professional, and inclusive visitor experience

Buildings & Grounds
• Manage the daily operations of the gallery and serve as the primary on-site staff representative
• Facilitate maintenance, repairs, and vendor/contractor visits
• Ensure adherence to operations procedures
• Facilitate the maintenance to ensure a clean, organized, and presentation-ready public and workspaces
• Monitor building systems, security, and safety
• Have knowledge of and compliance with safety and security protocols

Exhibitions & Archives
• Coordinate exhibition planning, installation, deinstallation, and related logistics
• Liaise with artists and work in conjunction with necessary committees
• Curate and manage presentation of permanent collection and exhibitions
• Oversee cataloging, inventory, and digitization of archival and collection materials
• Ensure proper care, documentation, and security of all works

Marketing & Communications
• Coordinate and distribute marketing materials for exhibitions, programs, and events in conjunction with committees
• Assist with website updates, email communications, and mailing lists
• Distribute press releases and support public relations efforts
• Respond to phone, email, and general inquiries
• Assist with social media content and digital outreach

Grants & Fundraising
• Assist with grant applications and required reports
• Support fundraising initiatives and donor cultivation efforts
• Develop and manage Crary membership program and related communications
• Prepare donor acknowledgements, thank-you letters, and gift records
• Supports financial documentation for contributions

Volunteer Management
• Coordinate volunteer program and schedule
• Oversee volunteers during open exhibition hours and special events, as needed
• Open and close facility, as needed
• Foster a positive, mission-driven volunteer experience

Intern Program & Supervision
• Develop and facilitate internship program and opportunities
• Provide supervision, training, mentorship, and performance feedback

Board Relations
• Maintain the Crary calendars, operations records, and administrative documentation
• Attend all regular board meetings and others, as invited
• Provide operational updates at all regular board meetings and as requested by committee chair and/or officers
• Assist with new board member orientation

Required Qualifications
• Associate's degree or equivalent professional experience in nonprofit administration, business, customer service, hospitality, arts administration, museum operations, or a related field.
• Minimum of two (2) years of experience in nonprofit management, museum operations, event coordination, customer service, or a related position.
Preferred Qualifications
• Bachelor's degree in Arts Administration, Museum Studies, Business Administration, Communications, Hospitality Management, or a related discipline.
• Experience working in museums, galleries, cultural organizations, or nonprofit institutions.
Required Competencies & Skills
• Strong organizational, administrative, and project-management skills.
• Excellent written, verbal, and interpersonal communication abilities.
• Proficiency in Microsoft Office Suite, Google Suite, and common administrative software applications.
• Ability to work independently, exercise sound judgment, and manage multiple priorities simultaneously.
• Ability to maintain confidentiality and handle sensitive information appropriately.
Preferred Competencies & Skills
• Knowledge of exhibition installation practices, collections management, and museum standards.
• Experience with volunteer management and community engagement initiatives.
• Familiarity with donor management, fundraising support, and grant administration.
Physical Requirements
• Ability to stand, walk, and move throughout the facility for extended periods.
• Ability to climb ladders and reach overhead when assisting with exhibitions and facility needs.
• Ability to lift, carry, and move exhibition materials, supplies, and equipment weighing up to 50 pounds.
• Ability to perform routine office and computer-based work.
Work Schedule
Regular hours will be established by the Board of Directors based on operational needs. The position requires flexibility to work occasional evenings, weekends, and special events.
Compensation
Compensation is commensurate with experience, qualifications, and organizational budget considerations.

The exhibition is open to visitors on Fridays and Saturdays from Noon to 6p.m. and Sundays from Noon to 4p.m. The exhibition will be on display through Sunday, July 5th.
